Based in prestigious offices in the Shard London, this Sunday Time top 100 employer is looking for an experienced EA for a 6-week booking. This is a hybrid role so 2/3 days in the office and 2/3 days at home, but some flexibility will be required.
You will be Executive Assistant to the Director of Strategic Growth and so it’s important that you have previous Prior PA / EA experience supporting Board Directors or C-Suite Executives.
Role Responsibilities
- Efficiently organise and prioritise tasks for the Director and Partners, serving as gatekeeper
- Handle all communication: manage inbox, respond or redirect emails, flag urgent items, and provide regular updates
- Coordinate daily management of detailed schedules, handle calendar conflicts in advance, and arrange travel and meetings as needed
- Ensure necessary preparations for meetings, such as printing relevant documents, conducting research, and assembling travel packs and reports
- Coordinate video and phone conferences for senior executives in multiple time zones
- Prepare and organise meeting documents, ensuring they follow brand guidelines
- Compile global reports and monitor follow-up actions to ensure all tasks are completed promptly
- Maintain records and file important documents as required
- Attend meetings, record minutes, follow up on actions
- Handle travel and accommodation requirements, prepare itineraries, and arrange visas
- General admin: expenses, memberships, timesheets, room/desk bookings, proofreading, catering
- Create reports and presentations for meetings to stay prepared for the week
- Plan yearly appraisals, routine check-ins, and team meetings
- Work closely with other EAs to align priorities and stay informed of upcoming events
- Organise conferences and events
Experience
- Prior PA / EA experience supporting Board Directors or C-Suite Executives required.
- Ability to use own initiative
- Maintains professionalism and composure in high-pressure situations, communicates effectively with various internal and external stakeholders
- Possesses strong organisational skills and works well within a team
- Proactive and resilient, able to adapt quickly to last-minute diary changes; flexible, persistent, and focused, with logical thinking and problem-solving skills

- Able to organise workloads, work effectively in high-pressure situations, and meet strict deadlines
- Building and sustaining strong connections with executive assistants and other colleagues
- Skilled in MS Office and Teams
